Process Impact Calculator
How much are your back-office processes really costing you?
Manual work, duplicate entry, and inefficient workflows don’t just drain time — they quietly erode your margins. This simple calculator helps you estimate the true operational burden of your current processes by converting wasted time into full-time equivalents (FTEs).
Use it as a starting point to see where hidden costs may be lurking — and what smarter operations could unlock.

Seeing more FTEs than expected?
That’s a sign there’s opportunity. Whether it’s automation, redesign, or better data flow — the right changes can turn that operational drag into real savings.

What goes into an FTE Calculation?
Full-Time Equivalent (FTE): Represents the workload of a full-time employee. It is used to standardize the calculation of employee hours to understand the overall workforce size and capacity in terms of full-time staff.
Monthly Volume Processed: Will be the monthly volume of transactions that were processed.
Average Handle Time (AHT) (minutes/transaction): Average handling time per unit. This is the average time (ideally overly a statistically significant number of samples gathered) that it takes to process ONE UNIT for that process, from start to finish.
Offmeasure (%): A metric tracked by role as a way to build-in ‘off-measure’ working hours, such as bathroom breaks, meetings. Roughly speaking, off-measure can be assumed to be ~10%, but this varies from organization to organization, and is also role-specific.
Personal Time Off (PTO )(%): A metric tracked by role to build-in time-off taken by employees. Roughly speaking, PTO can be assumed to be ~15%.
Average Monthly Salary (CDN$): Salary for a given role per month.
Productive Days/Month: Averaged to be 21 days/month due to weekends and holidays. Average month is 4 weeks, employees work 5 days a week = ~20 days/month. This value changes month to month.
